Document Standards & Licensing

PDF/A is a specialized version of PDF format designed for long-term digital preservation. Our repository implements PDF/A standard to ensure documents remain accessible and viewable for decades to come.

Key benefits of PDF/A:
  • Long-term preservation: Documents will remain viewable even decades later
  • Platform independence: Works on any device and operating system
  • Complete embedding: All fonts and images are embedded in the file
  • Enhanced metadata: Better support for document metadata

Documents uploaded to our repository are automatically validated for PDF/A compliance during the upload process.

In our repository, PDF/A compliance status is automatically displayed for each document:

PDF/A Compliant - Ready for long-term preservation
Not PDF/A Compliant - Basic preservation
For your own documents:
  • Use professional PDF software like Adobe Acrobat to check PDF/A compliance
  • Our system will automatically validate during upload and show the status
  • Non-compliant documents are still accepted but with basic preservation level

Authors can choose from various license types when submitting their works:

Creative Commons Licenses:
  • CC BY 4.0 Attribution: Allows redistribution and modification with attribution
  • CC BY-SA 4.0 Attribution-ShareAlike: Requires same license for derivatives
  • CC BY-NC 4.0 Attribution-NonCommercial: No commercial use allowed
Other Licenses:
  • MIT License Permissive license for software and technical documents
  • All Rights Reserved Traditional copyright - full protection

Our Recommendation: For academic works, we recommend CC BY or CC BY-SA licenses to maximize research impact and collaboration.

License selection guide:
  • CC BY: Best for maximum research impact - allows others to build upon your work
  • CC BY-SA: Good for collaborative research - ensures derivatives remain open
  • CC BY-NC: For research that should not be commercialized
  • All Rights Reserved: For sensitive research or when full control is needed
Consider these factors:
  • Your research field's conventions
  • Funding agency requirements
  • Collaboration needs with other researchers
  • Commercial application potential

Important: License changes after publication require careful consideration and may have legal implications.

License change policy:
  • From restrictive to permissive: Generally possible (e.g., from All Rights Reserved to CC BY)
  • From permissive to restrictive: Usually not possible due to existing users' rights
  • Between similar licenses: Possible on case-by-case basis
Process for license change request:
  1. Contact repository administrator
  2. Provide written justification for the change
  3. Administrator will review legal implications
  4. Changes will be implemented if legally permissible

Recommendation: Choose your license carefully at the time of submission to avoid complications later.
